Status of Tax Return

Overview

This is the instruction for checking the status of a tax return and communicating to the customer when they can expect an update.

Procedure

1. Login to Asana

2. From the search bar in the top right corner, type the client's name (i.e. Matthew Vorzimer)

3. Under the Projects heading select the requested year's tax return for the client (i.e. Matthew Vorzimer 2021 Tax Return)

4. Inform the client of the status of their tax return based on the following scenarios:

If the green diamond says "Information Exchange" do the following:

• Reply to the client's email with the following: "Your tax return is currently in the information gathering stage, we are still waiting for your ..."

  • Signed contract (provide the client a link

  • Tax Review Sheet

  • 20XX tax documents

Can you provide that today?"

If the green diamond says "Tax Preparation" do the following:

• Reply to the client's email with the following: "Your tax return is currently being prepared by our team, you can expect to receive your detailed review within 14 business days after you initially uploaded your documents. If we have any questions or need anything further in the meantime, we'll be sure to reach out."

If the green diamond says "Tax Review" do the following:

• Reply to the client's email with the following: "Your tax return is currently in the review stage, you can expect to receive your review video within 2 business days." (or use the due date assigned)

• If you see that there is no due date or assignee, immediately assign the task to Alexis Louis and give it a due date of tomorrow.

If the green diamond says "Tax Revisions" do the following:

• Reply to the client's email with the following: "We are glad you reached out, we're awaiting your approval to file your return. Did you have any questions about the review video or changes that you'd like made?"

If the green diamond says "Tax Filing" do the following:

• Reply to the client's email with the following: "Your tax return is currently in the filing stage." (then inform the client of the next action step that is happening (i.e. You should receive your tax return confirmation in the next 2 business days)
